Product knowledge · clear responsibilities

A US audio partnership brief: desk, stereo and TV projects that can be demonstrated

Five headings for your first email

A short, specific outline is more useful than a long presentation without a clear task. Mark unknowns as open questions and describe quantities and timing as your current planning.

01

Company, role & region

Give the company name, public website, your role and the area you serve. Distinguish retail, online sales, integration and own-brand development. For a brand proposal, explain existing channel arrangements and the market you want to discuss.

02

Customer task & existing system

Explain what the customer wants to achieve: add streaming to a working amplifier, improve TV sound or create an audio demonstration. List exact source, amplifier and speaker models, with available inputs and outputs. Keep the proposed signal path separate from the control method.

03

Models, documents & demonstration

Name the products being considered and link their official documentation. Define the source, network, control device and expected behaviour for a demonstration. Record what has actually been checked and what remains untested; one successful connection does not establish every possible system combination.

04

Initial scope & decision points

Separate a demonstration sample, a first order and possible later expansion. Give an indicative quantity, target timing and decision maker. For OEM work, describe hardware, interfaces, app, enclosure and firmware needs individually. Prices, availability and delivery dates belong in a project-specific offer.

05

Handover & continuing support

Identify who installs the system, explains daily use and keeps setup notes. Describe the desired route for issue reporting, updates and service. Agree the responsibilities, documentation and commercial terms for the specific products and roles before proceeding.

Four steps towards a clear project decision

  1. Define the task

Describe customers, existing equipment, daily use and essential requirements.

  2. Review evidence & demonstrate

Check models and documents against a repeatable demonstration with explicit acceptance points.

  3. Agree scope & responsibilities

Resolve open questions and record the offer, relevant rights and supply or support roles.

  4. Confirm the product & handover

Record the agreed configuration, operating notes, acceptance checks and responsible contacts.

Before your first enquiry

Does a product reference confirm a commercial arrangement?

Product information supports a technical discussion. The specific offer, applicable sales rights and commercial responsibilities are established for the proposed relationship. Existing approved brand and support information remains on the relevant local pages.

Does the email template place an order?

It prepares an enquiry in your own email app. It does not place an order or confirm price, stock, a delivery date or acceptance of a partnership.

What should stay out of the first message?

Do not send passwords, customer lists or private identity documents. Further confidential technical or commercial material can be discussed through an agreed next step.

Email the right team with a clear first brief.

Use the general mailbox for published content and system questions, and the partnership mailbox for business proposals. The prepared links open your own email app; review and send the message yourself.
